Administrative Assistant - Sales

This position is responsible for providing clerical, administrative and project support to the General Manager of Sales and the GM s direct reports.

  • Set up and coordinate all logistics for meetings, teleconferences and conferences for the GM and NA Sales & Marketing events.
  • Answer and screen telephone calls for the GM from internal and external customers and direct / triage inquiries appropriately.
  • Schedule GM s travel arrangements and process related expense reports for GM and direct reports.
  • Assist NA Sales team with myLubrizol. com user administration.
  • Create and distribute various correspondence, presentations and reports for GM and Sales division.
  • Maintain hard copy and electronic filing system. Act as records custodian for Sales
  • Attend various meetings. Prepare and distribute meeting minutes as applicable.
  • Assist with annual projects (i. e. industry meetings, budgets, planning, etc.).
  • Submit requisitions for new purchase orders and process monthly invoices through SAP.
  • Act as the SharePoint site owner for organizational charts and update the charts.
  • Coordinate all set-ups for new hires to the division in Wickliffe to include workstation/office, computer, phone, file access, etc.
  • Coordinate office moves and visitor schedules.
  • Screen and distribute mail; copy, fax and scan documents.
  • Other duties and responsibilities as determined by the GM.
  • High school diploma or equivalent.
  • Minimum five years of administrative and / or secretarial experience or Bachelor s degree in Business Administration and 1 year administrative and/or secretarial experience.
  • Strong computer skills, exceptional in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Highly resourceful and flexible in accomplishing tasks and solving problems; self-starter.
    Strong initiative and ability to anticipate needs.
  • Maintain high ethical standards and confidentiality at all times.
  • Exceptional customer service skills with demonstrated experience of being helpful and responsive, especially with other Executive Council members and their assistants.
  • Effectively able to handle and prioritize multiple projects;
  • Strong organizational skills; detail oriented.
  • Ability to work effectively under pressure and/or time constraints yet maintains accuracy in work output.
  • Takes initiative and able to work independently, yet knows when to ask for assistance.
  • Excellent communication skills.
  • Positive attitude and team player.


Bachelor s degree with an emphasis Business.
Experience with SAP.
Previous experience in an Information Technology environment.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
